NPO Projects Manager
THE ROLE
We are seeking a highly skilled and experienced Project Manager to take on a pivotal role in the management and execution of our various projects. The ideal candidate will collaborate closely with multiple departments and divisions across the organization, ensuring seamless communication and coordination. This position will provide essential support to the Projects team, facilitating the achievement of project milestones and objectives. The successful individual will bring expertise in project planning, execution, and oversight, contributing to the overall success and efficiency of our initiatives.
Position Summary
Strategy, Planning and Financial Management
- Developing and delivering the MHSA Project strategy, in line with the organisation’s strategic aims.
- Planning and reviewing the progress of the Project strategy and financial management at regular intervals (monthly, quarterly, and annually).
- Ensuring all partner offices are working in line with the Project strategy to achieve the organisation’s agreed long-term goals.
- Developing and implementing an annual budget for the Project strategy, in line with the organisation’s financial procedures.
- Ensuring financial transactions to and by MH partners are made in accordance with MOU and Project funding agreements.
- Using effective models and tools to enable planning and writing of Project proposals that comply with the Project guidelines and standards of MH.
Support to Senior Management
- Producing and presenting programmatic feedback and financial reports to the Country Director and Board of Directors on a monthly, quarterly, and annual basis.
- Advising senior management on the future projects and the viability of obtaining funds to support these.
- Ensuring the MH Project policies and practices are in line in with the Project standards and local regulations.
Project Management
- Ensuring the effectiveness and positive impact of the Projects implemented, including resources, feedback, and additional training, as and when required.
- Collaborating with overseas partners to ensure their strategies are in line with the MHSA Project strategy and sharing decision-making for maximum benefit to the global Projects team.
- Developing a reporting mechanism for the Projects team to use, which includes monitoring Project delivery and financial reporting.
- Ensuring that partner offices effectively use the MHSA software suite for managing budgets and monitoring and coordinating Projects across the organisation.
- Ensuring overseas partners are working in line with partnership policies, which meet the organisational strategic aims.
- Reviewing and assisting with the development of partner organisations, by providing training, resources, and feedback. Developing and implementing a clear communication structure between the Project and fundraising departments.
- Providing timely feedback to fundraising departments, supporters, and stakeholders particularly during emergencies, Ramadan, Qurbani or any other specific campaign.
- Being familiar with existing changes within the required standards and regulations for NGOs / humanitarian relief, development agencies and local laws.
Humanitarian Response
- Developing and implementing a strategy to deliver rapid emergency responses during disasters and human crisis.
- Supporting emergency teams in identifying relevant stakeholders for the emergency Project (UN, NGOs, donor agencies, and private sector)
- Actively encouraging partners to increase collaboration with agencies, UN institutions, donors, trusts, foundations, campaigners and standard organisations, especially during an emergency.
Program Monitoring, Evaluation and Learning (MEAL)
- Developing a regular process of monitoring and collecting data of all MHSA Projects.
- Ensuring effective and regular monitoring of international Projects to evaluate their impact and direction.
- Ensuring adequate assessments are made and MEAL recommendations are implemented.
- Sharing recommendations based upon MEAL with all MH donors and stakeholders.
Staff Management
- Ensuring Project staff are trained and follow all policies and procedures.
- Undertaking any reasonable responsibilities as required by line management and adhering to all policies at MH.
- Ensuring effective time management and attendance of the Projects team, through tools provided.
- With the HR Department conduct performance reviews and manage team and individual performance.

- Project management experience in an international humanitarian aid organisation.

- Demonstrable ability to evaluate the type of initiatives and programmes within the scope of the post and initiate, develop and deliver new initiatives that build on their successes.

Qualifications & Experience
- Educated to degree level
- Evidence of Continued Professional Development relevant to the role purpose and level.
- Experience working in the not-for-profit or government sector.
Strong communication skills, both written and verbal.
- Outstanding interpersonal skills and ability to build relationships with all staff members.
- Self-starter, who can set achievable targets, manage own workload, and meet tight deadlines, often under pressure.
- Preparing and analysing data. Proficient IT skills - ability to use Microsoft Office.
- Good judgement and decision-making skills.
- Honest and trustworthy with a strong sense of ethical and professional behaviour and always ensuring confidentiality.
- Excellent time management and organisational skills - able to work to tight deadlines and keep others informed of progress.
- Working understanding of Sha’riah law.
