THE ROLE
The ideal candidate will play a key role in managing and implementing our programmes across the world. The successful candidate will work closely with other departments and divisions within the organisation and will become an integral part of the team.
As a Programme Coordinator, you will be responsible for:
Position Summary
1. Programme Management:
- Ensure all local and international projects are delivered effectively and monitor their progress including WASH, orphan sponsorships, health, livelihoods, and emergency.
- Act as a first point of contact for implementing partners and addressing any issues which are raised relating to programmes including coordination with other internal departments to resolve issues.
- Collaborating with overseas partners to ensure their strategies are in line with the MHSA programme strategy and sharing decision-making for maximum benefit and impact to the communities we serve.
- Developing and maintaining relationships with partners, NGO’s, international organisations as well as local communities
- Ensuring reporting requirements are met, which includes monitoring programme delivery and financial reporting.
- Ensuring that partner offices effectively use the MHSA software suite (Programme System 3, Qalam, Alpha etc.) for managing budgets and monitoring and coordinating programmes across the organisation.
- Ensuring overseas partners are working in line with partnership policies, which meet the organisational strategic aims and by ethical practices.
- Reviewing and assisting with the development of partner organisations, by providing training, resources, and feedback.
- Developing and implementing a clear communication structure between the programme and fundraising departments.
- Providing timely feedback to fundraising departments, supporters, and stakeholders, particularly during emergencies, Ramadan, Qurbani or any other specific campaigns.
- Being familiar with existing changes within the required standards and regulations for NGOs / humanitarian relief, development agencies and local and international laws (CHS).
- International travelling to assess and evaluate the projects and overall performance.
- Providing programme training to junior staff if required.
- Timeous donor reporting.
2. Strategy, Planning and Financial Management:
- Helping to deliver the MHSA programme strategy, in line with the organisation’s strategic aims.
- Providing updates on the progress of the programme strategy and financial management at regular intervals (monthly, quarterly, and annually).
- Ensuring all partner offices are working in line with the programme strategy to achieve the organisation’s agreed long-term goals.
- Helping to develop and implement an annual budget for the programme strategy, in line with the organisation’s financial procedures.
- Ensuring financial transactions to and by MH partners are made per MOU and programme funding agreements.
- Using effective models and tools to enable the planning and writing of programme proposals that comply with the programme guidelines and standards of MH.
3. Programme Management:
- Producing and presenting programmatic feedback and financial reports to the CEO, senior management, and Directors on a monthly, quarterly, and annual basis.
- Advising senior management on future projects and the viability of obtaining funds to support these.
- Ensuring the MH programme policies and practices are followed and in line with the programme standards and local regulations.
4. Humanitarian Response:
- Supporting the development and implementation of a strategy to deliver rapid emergency responses during disasters and human crises.
- Supporting emergency teams in identifying relevant stakeholders for the emergency programme (UN, NGOs, donor agencies, and private sector).
- Actively encouraging partners to increase collaboration with agencies, UN institutions, donors, trusts, foundations, campaigners, and standard organisations, especially during an emergency.
5. Programme Monitoring, Evaluation and Learning (MEAL):
- Following a regular process of monitoring and collecting data of all MHSA programmes.
- Ensuring effective and regular monitoring of international programmes to evaluate their impact and direction.
- Ensuring adequate assessments are made and MEAL recommendations are implemented.
- Sharing recommendations based upon MEAL with all MH donors and stakeholders.
- Ensuring programme staff are trained and follow all policies and procedures.
- Undertaking any reasonable responsibilities as required by line management and adhering to all policies at MH.
Qualifications:
- Desirable: Project management qualification
- University degree in a related field
Knowledge and skills:
- Essential: Minimum 3 yrs. experience in programme management experience of humanitarian aid projects.
- Programme planning and budget management.
- Outstanding organisation skills and problem-solving skills
- Can work well under pressure and tight deadlines.
- A clear focus on strategic issues, with the ability to translate into appropriate action.
- Experience in successfully working as part of a team, openly exchanging information, and supporting colleagues.
- Financial/budget management
Desirable:
- Understanding of the international development and humanitarian sectors
- Up-to-date knowledge of global development challenges
- Experience working in the not-for-profit or government sector.
- Excellent negotiation skills

- Strong communication skills, both written and verbal.
- Outstanding interpersonal skills and ability to build relationships with all staff members.

- Proficient IT skills - ability to use Microsoft Office.
- Good judgment and decision-making skills.
